Documents are created almost everywhere across Pivovary Lobkowicz Group. And when every site has its own system of folders, names and spreadsheets, finding the right contract eventually takes more effort than negotiating it did.

That is why Pivovary Lobkowicz Group are building a shared workspace in DATIFY that respects the structure of the whole group while leaving each brewery and department its own space. The result is not one enormous digital binder, but a clear network of agendas in which every document has its place, its context and the people responsible for it.

One group does not mean one pile of documents

Production is split in DATIFY by individual brewery. Alongside them there is also a shared group-wide set of records.

Logistics and ON TRADE sales work on the same principle. Every brewery and sales region has its own data source, yet all of them follow the same logic and structure. Users do not have to learn a different way of keeping records just because they opened a document from another site.

On the commercial side, ON TRADE and OFF TRADE activities are kept apart as well. Here DATIFY helps record terms-of-sale contracts, framework agreements, amendments, marketing plans and work with Czech and foreign trading partners.

Documents therefore stay where they belong. They just no longer have to be found by remembering which folder they were last saved in.

The same frame, different content

Pivovary Lobkowicz Group use one way of working across all agendas. A document can carry its number and name, the counterparty, the company registration number, a short subject, the group company it belongs to and the dates that matter.

A document in DATIFY is therefore not merely an attachment with a file name. It becomes a structured record that can be searched, filtered, placed into the right view and processed further.

That holds for production contracts, service documentation and certifications just as much as for commercial agreements, IT services or financial documents. The teams work with different content, but the workspace and the basic rules of record keeping stay the same.

For a group with several sites that is a substantial difference: standardisation without forcing every department into one universal table.

From production to powers of attorney

DATIFY has gradually crossed the boundaries of a single department. Alongside production, sales, marketing and logistics it now covers finance, legal documentation, IT, property management, HR, capital assets, projects and the Slovak part of the group.

A separate agenda was created for authorisations and powers of attorney, for example. In one place it is possible to look up who may represent the company and for what kind of dealings the authorisation was issued. The legal department keeps contracts and related documents, IT works with technical specifications and licences, and finance with service, credit and insurance documents.

Some agendas are already full of everyday work, others are ready for what comes next. DATIFY does not grow through one big project, but together with the teams and users who join it.

An active user is not a complaint. They are a development partner.

We are in regular contact with Zuzana Revilaková, who administers DATIFY across the group. Pivovary Lobkowicz Group use the app intensively, add more users and keep passing on their experience from real operations.

It is not only about reporting what could work differently. That feedback often brings concrete ideas for changes and new features.
